1. Objective
The objective of this Standard Operating Procedure (SOP) is to define and document AI-integrated release planning activities in the AI-SDLC (Artificial Intelligence Systems Development Life Cycle). This procedure ensures that new or updated AI-based features or products are evaluated, prioritized, and scheduled in alignment with business goals, AI-IRB requirements, and organizational priorities.
2. Scope
This SOP covers end-to-end release planning for AI-based software solutions, from preliminary concept or feature requests through the finalization of high-level commitments in Gate 10. It coordinates input from Product Development, AI-IRB Liaison, Technical Support, and Engineering, aiming to achieve a feasible and compliant release scope.

6. Procedure Activities
This procedure begins at Gate 12 (“Project Start”), continues through Gate 11 (“Project Strategy Lock-Down”), and concludes at Gate 10 (“Requirements Scope Lock-Down”). All release planning activities incorporate recursive self-improvement subroutines and Exochain Peer Reviews to align feature roadmaps with AI-IRB governance.
- Define AI Business Strategy
- Senior Management establishes overarching goals for AI solutions.
- AI-IRB Liaison identifies any additional compliance constraints for AI-based features.
- Gather Service Requests and AI Feasibility
- Technical Support, Product Development, and Engineering funnel new feature or bug requests (including AI use-cases).
- Each request is documented using standard forms (e.g., Service Request Form).
- The AI-IRB Liaison is consulted early if the request has potential ethical or data usage concerns.
- Initiate Release Scope
- Project Manager compiles input from all requestors.
- High-level resource estimates requested from Engineering and AI-IRB Liaison for compliance risk.
- Prioritize and Define Initial Release Scope
- The Release Planning Review Board (may include AI-IRB Liaison) ranks each request based on business value, technical feasibility, compliance, and resource needs.
- A preliminary set of features is identified for possible release inclusion.
- Estimate the Scope (High Level)
- Engineering provides feasibility and resource/time estimates for each proposed AI request.
- AI-IRB Liaison identifies compliance checks or data usage constraints.
- Revise Release Scope
- The Release Planning Review Board adjusts scope based on feasibility and compliance constraints.
- All features not included remain in a backlog or future release list.
- Finalize Release Strategy
- Program Manager (with input from Project Manager, AI-IRB Liaison, Engineering) updates and refines the project plan.
- This results in a final release scope, timeline, budget, and acceptance by the Review Board.
- Approve Release Strategy (Gate 11)
- Project Manager presents final documents (SOW, Resource Plan, high-level schedule).
- If approved, the Release Strategy is locked.
- All known assumptions, dependencies, and constraints are documented.
- Create Scope of Work (SOW)
- Business Analysts elaborate each accepted AI feature.
- SOW includes acceptance criteria, any specialized AI compliance needs, user acceptance protocols, and test data constraints.
- Review Scope of Work for Completeness
- Engineering and Quality Assurance confirm SOW is feasible.
- If incomplete, it is returned to Product Development for revision.
- Approve Requirements Scope (Gate 10)
- The Review Board decides if the release scope is justified, referencing AI compliance input from the AI-IRB Liaison.
- If approved, scope is locked.
- Release moves into Definition Phase for system requirements detailing.
