1. Objective

This Standard Operating Procedure (SOP) defines the policies and responsibilities for implementing, maintaining, and monitoring computer system controls within the AI-SDLC environment. By following this procedure, SDLC teams and relevant stakeholders ensure that all systems and associated data remain secure, reliable, and compliant with organizational, AI-IRB, and regulatory requirements.

This SOP applies to all AI-driven software development projects, including computer systems used for development, testing, production, and maintenance in the SDLC. It covers:

The following steps define how to establish, maintain, and oversee Computer System Controls:

  1. Planning and Assessment
    1.1. Identify System Scope
    • The System Owner collaborates with the Project Manager to identify the system’s scope, including hardware components, software modules, AI algorithms, and interfaces that require controls.
    • AI-IRB Liaison verifies if the system’s AI/ML components need additional ethics or compliance checks.
  2. 1.2. Risk Analysis
    • Security Compliance Manager conducts or updates a risk assessment focusing on data confidentiality, integrity, availability, and AI-IRB guidelines.
    • The outcome of the assessment is documented, shared with relevant stakeholders, and used to define specific controls.
  3. Control Framework and Design
    2.1. Select Control Standards
    • The Security Compliance Manager identifies relevant standards or frameworks (e.g., ISO 27001, NIST, AI-IRB guidelines) to integrate with the system.
    • Development Team ensures designs comply with relevant coding, logging, and documentation standards.
  4. 2.2. Define Roles and Privileges
    • Operations Manager, with Security Compliance Manager’s input, defines user groups, roles, and permission sets.
    • Quality Assurance checks that privilege definitions match user needs, and logs any discrepancies.
  5. 2.3. Approval of Control Design
    • AI-IRB Liaison reviews the system controls from an ethical/regulatory lens.
    • System Owner signs off on the final design, verifying that all controls are adequate and feasible.
  6. Implementation of Controls
    3.1. Configuration Management
    • Development Team configures the software modules in line with the approved controls.
    • Operations Manager sets up hardware, network segments, and security features (firewalls, intrusion detection).
  7. 3.2. Version Control
    • All code changes must be committed to a central repository, following standard versioning conventions.
    • QA ensures traceability from code commits to configuration items, verifying alignment with the baseline, integrating Exochain Peer Reviews for code verification.

    • The Project Manager obtains final approvals from sponsors, AI-IRB, or compliance authorities.

    • Operations verifies final system settings post-deployment.
    • QA conducts final sign-off testing to confirm that no unauthorized changes occurred during deployment.
