1. Purpose
The purpose of this SOP is to establish a structured process for validating and continuously monitoring AI systems throughout their lifecycle to ensure they meet functional, performance, fairness, compliance, and ethical standards as mandated by the AI-IRB (Institutional Review Board for AI). This procedure helps maintain trust, reliability, and continuous alignment with evolving requirements and regulations.

2. Scope
This SOP applies to all AI projects at SDLC (Software Development Life Cycle) phases—from concept through deployment and post-implementation—where AI components must be validated and monitored. It covers model evaluation, performance metrics, risk assessment, compliance checks, drift detection, and revalidation triggers.

3. Roles and Responsibilities

RoleResponsibility
Project Sponsor (PS)Secures resources and champions the AI project. Ensures alignment with strategic goals.
AI Governance Office (AIGO)Oversees adherence to AI standards, policies, and guidelines, including IRB approvals.
AI-IRBReviews and approves AI projects for ethical, compliance, and fairness considerations.
Data Scientist/Engineer (DS)Develops, trains, and validates AI models. Monitors model performance and drift. Implements changes subject to IRB/AIGO review.
Quality Assurance (QA)Validates the AI model test results, ensures compliance with standards, records defects, and enforces revalidation triggers.
Operations (OPS)Deploys validated AI components to production. Monitors operational performance, logs issues, and escalates as required.
Technical Support (TS)Provides level 1 or 2 support for AI-related incidents, escalates to DS or QA for root-cause analysis, ensures user feedback is logged.
AI Compliance Auditor (AUD)Performs periodic audits of validation records, performance logs, fairness metrics, and compliance with relevant regulations, including AI-IRB conditions.
Risk Management (RM)Identifies potential risks or operational hazards. Proposes mitigation measures and ensures that they are incorporated in the monitoring and revalidation plan.

4. Definitions

5. Procedure Activities
5.1 Initiation of Validation

  1. Define Validation Criteria
    • DS, QA, and AIGO collaboratively define performance, accuracy, bias thresholds, and compliance metrics.
  2. Obtain IRB/AI-IRB Clearance
    • AI-IRB reviews the proposed validation plan, verifying ethical compliance and fairness safeguards.

5.2 Validation Preparation

  1. Assemble Test Data
    • DS ensures relevant data sets meet QA and IRB confidentiality/sensitivity requirements.
  2. Set Up Validation Environment
    • OPS prepares the staging environment.
    • DS loads the model and relevant code for validation.

5.3 Execute Validation Testing

  1. Functional Testing
    • QA runs model test cases for standard functionality.
    • DS addresses any major defects or blocking issues.
  2. Performance & Stress Testing
    • DS conducts load, stress, and inference-time benchmarking.
    • OPS monitors logs and system resource usage.
  3. Fairness/Bias Assessment
    • DS applies bias detection frameworks.
    • QA confirms results against acceptance thresholds set by IRB/AIGO.
  4. Security & Compliance Checks
    • QA ensures data handling follows SOP-1303-01-AI (Data Protection & Privacy).
    • AIGO checks any new compliance or IRB updates.

5.4 Validation Outcome

  1. Validation Report
    • QA compiles test results into a formal validation report.
    • DS includes logs, performance graphs, bias metrics.
  2. AI-IRB Review
    • AIGO or IRB reviews the validation report.
    • If results are acceptable, proceed to production deployment.
    • If not acceptable, DS must fix issues and re-run validations.

5.5 Deployment and Monitoring Integration

  1. Deployment Sign-off
    • OPS ensures all production readiness tasks are met (SOP-1220-01).
    • QA and DS sign off on the validated model.
  2. Continuous Monitoring
    • OPS sets up real-time dashboards for performance metrics and drift detection.
    • TS logs user feedback/incidents.

5.6 Post-Deployment Monitoring

  1. Performance Monitoring
    • DS and OPS measure real-time accuracy, latency, resource usage.
    • RM identifies potential new risk exposures.
  2. Drift Detection
    • DS triggers revalidation if drift or performance drop exceeds thresholds.
  3. Periodic Audit
    • AUD periodically reviews validation logs, fairness metrics, and compliance.

5.7 Revalidation & Change Management

6. Key Metrics

MetricDefinition/Goal
Validation CoveragePercentage of test cases passed vs. planned test scenarios.
Bias/Fairness ThresholdThe measured variance of key model outputs across protected groups (e.g., demographic categories).
Deployment Cycle TimeTime from successful validation completion to production deployment.
Drift IncidentsNumber of times model drift triggered revalidation.
Audit FindingsNumber of compliance or governance issues raised during periodic or ad hoc audits.

Short textual explanation:
This sequence diagram shows how an AI project undergoes validation and continuous monitoring per SOP-1304-01-AI. It begins with IRB approval, moves through collaborative validation efforts by Data Science, QA, and Governance, then, upon successful validation, transitions to Operations for deployment and monitoring. Risk Management, the AI Compliance Auditor, and Technical Support play supporting roles by ensuring issues are detected, escalated, and addressed post-deployment, with the possibility of revalidation if performance drift or fairness concerns arise.
